National Administrative Assistant

While research shows that classroom teachers are the single most important in-school factor in improving student achievement, their diverse voices are consistently left out of education policy decisions. For far too long, teachers have been treated as subjects of change rather than as agents of change. 

Founded by public school teachers, Educators for Excellence is a growing movement of 25,000 educators, united around a common set of values and principles for improving student learning and elevating the teaching profession. We work together to identify issues that impact our schools, create solutions to these challenges, and advocate for policies and programs that give all students access to a quality education.

What We Do

Through our chapters in communities across the country, we provide opportunities for teachers to stay informed, expand their leadership, connect with colleagues and decision-makers, and advocate for change.

The Opportunity

Through our work, we provide an opportunity to undo an inequitable educational system caused by systems of oppression.  E4E has expanded to six chapters across the country since 2010 and is looking this year to deepen in impact and excellence. Therefore, we focus advancement on increasing excellence within roles so that each employee’s work directly impacts our mission and vision.

To further our mission of equity in education, we seek an exceptionally organized and motivated individual to take on a range of important behind-the-scenes and support responsibilities for our team. Based out of our National Headquarters in NYC, the National Administrative Assistant (NAA) will provide direct administrative and support to two members of the National Leadership Team. This will include booking travel, scheduling and managing projects that impact the team. The NAA will play a lead role in coordinating internal communications across both the Programs and External Affairs teams, managing logistics for both in-person and virtual team events, and providing administrative support (like tracking expenses) for the team. The NAA must be a natural self-starter, pay exceptional attention to detail, and possess a strong customer service work ethic. 

You will:

Provide National Leadership Team Administrative Support:
Support two Vice Presidents (one remote) around three primary tasks:

  • Calendar Management: optimize the extremely active calendars of the VPs, ensuring they reflect the priorities and preferences of the VPs, serving as the primary gatekeeper of their schedules
  • Travel booking
  • Expense report submission

Additionally, you will:

  • Approach your work with a commitment to building excellence in your craft
  • Build and maintain strong working relationships with Program Coordinators, Assistants, and other support staff.
  • ​Prepare materials, research, and background information for team retreats; arrange complex and detailed travel plans, itineraries, and agendas, assuming responsibilities for all logistics
  • Team coordination and logistics as necessary
  • Workflow management for the VPs to ensure that priorities are aligned with additional capacity needed for meetings and/or travel
  • Manage a high volume of emails

Jointly support the following duties (along with the New York based Administrative Assistants):

  • Receive visitors and respond to and route incoming phone calls
  • Receive, secure, and delivery incoming mail appropriately and ensure outgoing mail flow is timely

Manage the NY/National headquarters office including, but not limited to:

  • Own relationship with building management
  • Develop office systems and protocols
  • Maintain office equipment, ensure equipment is in good working order and manage vendors to perform maintenance functions
  • Coordinate purchasing for the national team and ensure supplies are well stocked
  • Coordinate office kitchen duty and ensure all staff are compliant with office cleanliness standards
  • Ensure proper setup and breakdown of all conference rooms and conferencing technology
  • Build and maintain national relationships with key vendors
  • Manage office access, to include ID badges, key FOBs, and WiFi information
  • Order and distribute transit cards

You have:

  • Previous administrative support or executive assistant experience
  • Dependability, detail orientation and the ability to multi-task
  • An ability to prioritize and support executive’s in their time management
  • Exceptional organization skills and a high level of efficiency
  • The ability to exercise discretion and be exposed to sensitive information
  • Strong project management capabilities
  • Excellent written and verbal communication skills
  • Strong interpersonal and relationship-building skills
  • Problem-solving skills
  • An ability to work with people across the organization in different time zones
  • Experience with Microsoft Office and/or Google Apps.  Experience with Concur a plus
